Terms & Conditions

Welcome to Elevate Trek. By booking a trip, trek, tour, or other travel service with us, you agree to the following Terms & Conditions. Please read them carefully before making a booking.

1. Booking and Reservation

A booking is confirmed once we receive the required booking information and payment or deposit specified for your selected trip.

The booking confirmation will include the relevant trip details, dates, services included, and payment requirements.

For group departures, availability is subject to the number of available spaces. Private trips can generally be arranged according to your preferred dates, subject to availability.

2. Payment

A deposit may be required to confirm your booking. The remaining balance must be paid according to the payment schedule provided by Elevate Trek.

Payments can be made through the payment methods provided by our team.

Bookings may be cancelled if the required payment is not received within the agreed timeframe.

Any additional costs incurred during the trip that are not included in the original package must be paid by the traveler.

3. Cancellation and Refund Policy

If you need to cancel your trip, please inform Elevate Trek as early as possible.

Cancellation charges may apply depending on how close the cancellation is to the departure date and on costs already committed to hotels, transportation, permits, guides, flights, and other services.

Some payments, permits, tickets, or third-party services may be non-refundable.

Any eligible refund will be processed according to our cancellation policy and after deducting applicable charges.

4. Changes to Your Booking

If you wish to change your travel dates, itinerary, accommodation, or other booking details, please contact us as soon as possible.

Changes are subject to availability and may result in additional charges.

Any additional costs caused by changes requested by the traveler will be the responsibility of the traveler.

5. Changes or Cancellation by Elevate Trek

Elevate Trek reserves the right to modify, postpone, or cancel a trip when necessary due to circumstances beyond our reasonable control.

Such circumstances may include severe weather, natural disasters, landslides, road conditions, political situations, strikes, government restrictions, flight cancellations, health emergencies, or other safety-related concerns.

We will make reasonable efforts to provide an alternative itinerary or travel arrangement whenever possible.

6. Itinerary Changes

Trekking and adventure travel can be affected by weather, terrain, transportation, local conditions, and other unexpected circumstances.

The itinerary provided at the time of booking is subject to change when necessary for safety, operational, or logistical reasons.

Our guides and management team may adjust the itinerary based on actual conditions during the trip.

7. Travel Documents and Permits

Travelers are responsible for ensuring that they have valid passports, visas, permits, travel documents, and any other documents required for their trip.

Elevate Trek will assist with applicable trekking permits and other services included in the selected package.

Travelers are responsible for providing accurate information required for permits, reservations, and other travel arrangements.

8. Travel Insurance

Travel insurance is strongly recommended and may be required for certain trekking and adventure trips.

Your insurance should provide appropriate coverage for trekking, medical treatment, emergency evacuation, trip cancellation, loss of baggage, and other potential travel risks.

Elevate Trek is not responsible for expenses that are not covered by the traveler’s insurance policy.

9. Health and Fitness Requirements

Travelers are responsible for ensuring that they are physically and medically fit for their selected trip.

Some trekking routes involve high altitude, long walking days, steep terrain, changing weather conditions, and limited access to medical facilities.

Travelers should inform Elevate Trek of any relevant medical conditions, allergies, dietary requirements, or other circumstances that may affect their safety during the trip.

Our guides may recommend changes to the itinerary or, where necessary, advise a traveler not to continue for safety reasons.

10. High-Altitude Trekking

High-altitude trekking involves inherent risks, including altitude sickness and other altitude-related illnesses.

Our guides will monitor the situation and provide guidance based on the conditions and the traveler’s circumstances.

If a traveler needs to descend, evacuate, or change the itinerary for safety reasons, additional costs may apply unless covered by the traveler’s insurance.

11. Transportation and Flights

Domestic flights, tourist buses, private vehicles, and other transportation services are subject to availability and operational conditions.

Flight schedules may be affected by weather, technical issues, airport conditions, or other factors.

Elevate Trek cannot guarantee specific flight schedules when such changes are controlled by airlines or transportation providers.

Any additional costs resulting from unavoidable transportation changes may be the responsibility of the traveler.

12. Accommodation

Accommodation will be provided according to the category and itinerary specified in your selected trip package.

In remote trekking areas, accommodation facilities may be basic and different from standard city hotels.

Room availability, facilities, and services may vary depending on the location.

13. Food and Dietary Requirements

Meals included in your package will be provided according to the itinerary.

Travelers with allergies, special dietary requirements, or food restrictions should inform Elevate Trek before departure.

While we will make reasonable efforts to accommodate dietary requirements, options may be limited in remote trekking areas.

14. Personal Belongings

Travelers are responsible for their personal belongings, passports, money, electronics, luggage, and other valuables throughout the trip.

Elevate Trek is not responsible for loss, theft, or damage to personal belongings unless caused directly by our proven negligence.

We recommend keeping important documents and valuables secure at all times.

15. Guides and Staff

Our guides and staff are responsible for assisting travelers and managing the trip according to the planned itinerary.

Travelers are expected to follow reasonable instructions provided by guides, especially regarding health, safety, weather, altitude, and local conditions.

The guide may make decisions or changes to the itinerary when necessary to protect the safety of the group.

16. Traveler Responsibilities

Travelers are expected to:

  • Follow the instructions of guides and staff.
  • Respect local laws, customs, culture, and traditions.
  • Respect other travelers and local communities.
  • Take reasonable care of accommodation, equipment, and transportation.
  • Provide accurate personal and travel information.
  • Maintain appropriate behavior throughout the trip.
  • Follow safety instructions during trekking and other activities.

Elevate Trek reserves the right to refuse or discontinue services for a traveler whose behavior creates a safety risk or seriously affects other travelers.

17. Environmental Responsibility

Elevate Trek encourages responsible and sustainable tourism.

Travelers are expected to respect nature, wildlife, local communities, and cultural heritage.

Please avoid littering, damaging natural areas, or disturbing wildlife and follow local environmental guidelines during your trip.

18. Third-Party Services

Some services included in our trips may be provided by third parties, including airlines, hotels, transportation companies, restaurants, and other service providers.

While we carefully select our service providers, Elevate Trek cannot be held responsible for circumstances caused by third-party providers that are outside our reasonable control.

19. Photography and Media

Elevate Trek may take photographs or videos during trips for promotional, marketing, or social media purposes.

If you do not wish to appear in promotional photographs or videos, please inform our team before or during the trip.

20. Force Majeure

Elevate Trek will not be responsible for delays, cancellations, losses, or additional expenses caused by circumstances beyond our reasonable control.

These may include natural disasters, extreme weather, earthquakes, landslides, floods, political unrest, strikes, pandemics, government restrictions, transportation disruptions, or other unforeseen events.

21. Liability

Elevate Trek will take reasonable care to provide the services described in your booking.

However, adventure travel and trekking involve inherent risks. We cannot accept responsibility for injury, illness, loss, damage, delay, or additional expenses resulting from circumstances beyond our reasonable control or from risks inherent to the activity.

Nothing in these Terms & Conditions is intended to exclude liability where such exclusion is prohibited by applicable law.

22. Complaints

If you experience a problem during your trip, please inform your guide or our team as soon as possible so that we have an opportunity to resolve the issue.

Any formal complaint should be submitted to Elevate Trek as soon as reasonably possible after the issue occurs.

We will review and respond to complaints fairly and within a reasonable timeframe.

23. Privacy

Elevate Trek may collect and use personal information necessary to process bookings, arrange travel services, obtain permits, communicate with travelers, and provide requested services.

We will handle personal information in accordance with applicable privacy and data protection requirements.

24. Website Information

We make reasonable efforts to ensure that the information, prices, itineraries, photographs, and descriptions published on our website are accurate and up to date.

However, details may change due to availability, seasonal conditions, operational requirements, or circumstances beyond our control.

Elevate Trek reserves the right to correct errors and update website information when necessary.

25. Acceptance of Terms

By making a booking with Elevate Trek, you confirm that you have read, understood, and agreed to these Terms & Conditions.

These Terms & Conditions apply to all bookings unless specific written terms have been provided for a particular trip or service.
